Application for leave of absence for exceptional circumstances
The procedure within this policy applies to all parents/carers wishing to take boarders out of Lord Adonis House during term time.
This policy is designed to facilitate a request for absence to the Director of Boarding so that consideration can be given and a decision is reached.
If an absence in term time is unavoidable, parents/carers should complete a Request for Leave of Absence Form as far in advance as possible, giving full details. This should then be submitted to the Director of Boarding, explaining the reasons for the request of absence. However, time off school is not an automatic right and any decision to authorise the absence is at the desecration of the Director of Boarding.
In making this decision, the Director of Boarding will consider:
- The Boarders record of attendance and punctuality in the current academic year.
- The educational benefit to the child or exceptional circumstance of the request.
- The time of the absence, ensuring that it would not prevent the child from sitting any examinations or assessments.
The Request for Leave of Absence Form should be completed by the parent/carer and returned at least two weeks before the absence to the Director of Boarding.
The Director of Boarding will only authorise leave of absence in exceptional circumstances. The Director of Boarding will consider each request individually taking into account the circumstances, such as: the nature of the event for which leave is sought; the frequency of the request; whether the parent gave advance notice; and the student’s attainment, attendance and ability to catch up on missing schooling.
If the Director of Boarding does not authorise a leave of absence for the purpose of a holiday but the parent/carer still takes the child out of school, or the child is kept away for longer than was agreed, the absence is unauthorised.
The regulations do not allow schools to give retrospective approval.
If the parent did not apply for leave of absence in advance, the absence will be recorded as unauthorised.

As a parent/carer, you have a legal responsibility to ensure your child’s attendance at school. During the academic year, students are at school for 190 days and at home for 175 days. Holidays should be taken during the school holiday period in order not to disrupt your child’s education. In line with other schools, it is our policy not to authorise leave of absence in term time unless there are exceptional circumstances.
Holidays will not be authorised as the norm during term time.
Please complete and submit the Request for Leave of Absence Form if you want the Director of Boarding to consider your request for your child’s leave of absence for exceptional circumstances. We may ask for proof to back up your request. The Director of Boarding will consider the reasons for the request carefully and will notify you of the decision within five days.
